Exhibitor General Information

Age Restrictions
For safety, security and liability reasons, persons under 16 years of age are not admitted on the show floor. This rule applies to set-up and tear-down, as well as during show hours.  Please plan accordingly.

Background Drapery
Background drapery throughout the show is Black. Booth equipment, services, and furnishings are available through the show's official decorator, Shepard Exposition Services. Order forms for these services can be found in Building your Booth/General Contractor Forms. Call 404-720-8600 with questions on ordering from Shepard.

Bag Check
Bag check service will be available at the registration desks located in the lobby during show hours.

Booth Selection
Rebook for WFX Fall 2012 exhibit sales will take place in the sales office at the Dallas Convention Center. You will receive an information packet detailing the rebook process prior to the show. Please contact Laura McDermott ( lmcdermott@ehpub.com) with any questions regarding booth selection.

Business Center
There is a Business Center located in the Dallas Convention Center in the Hall A lobby, and Lower C Lobby. Services include small parcel shipping, copying and faxing capabilities. They also carry sundries, office supplies and Dallas-themed items. They can be reached at 214-741-9090.
 

Crate Removal/Storage
Crates, boxes, and packaging materials will be collected from your booth throughout move-in to be stored for the duration of the show. Please label your material properly so that they may be promptly returned to you at the end of the show; labels will be available at the Shepard service desk. Please note that there will be no access to these boxes once they have been removed from your booth, until the close of the show on Thursday, November 10 at 5:00pm.

Drayage/Material Handling
For safety reasons, Shepard is the only material handling/drayage contractor allowed on the show floor. They will expedite the delivery of your materials from the loading dock to your booth upon arrival. Please note that advance shipments sent to the warehouse will be delivered to your booth before your targeted set-up time.

Exhibit Space
All linear (non-island) booths are provided with pipe and drape (Black) and one standard identification sign. Additional booth furnishings can be rented through Shepard or your exhibitor appointed contractor. Order forms for Shepard furnishings can be found in the Shepard Carpet & Booth Order Forms Section.  Carpet/floor covering is REQUIRED FOR ALL BOOTHS.   See Building your booth for booth Rules & Regulations.

Event Marketing
Event Marketing (pre-show and on-site) is integral to enhance the success of your exhibit experience! Many event marketing and sponsorship opportunities are available at different price points. A full description of these opportunities can be found in the Marketing section of the manual. Hanging Signs
To ensure maximum visibility for all exhibitors, there are specific rules regarding the hanging of signs within your booth.  Please see link on the manual homepage for the Hanging Sign Approval Form. Consult this information prior to planning your exhibit. Contact Amy Reddington, 508.663.1500 x 247,  wfxservices@ehpub.com with any questions regarding your hanging sign.

Insurance
Per your exhibit space contract you are required to carry adequate insurance covering theft, public liability and
property damage, and may be asked to provide proof on-site in the form of a certificate of insurance valid from November 6 through November 11. Please refer to article 11 of your exhibit space contract for details.
 a.  Liability of $1,000,000 for property damage per occurrence        
 b. $1,000,000 for personal injury per occurrence
 c.  Workers' Compensation aggregate coverage of $1,000,000 per occurrence, naming EH Publishing, Inc., Production Media Inc..,  
    Shepard Exposition Services, and the Dallas Convention Center as additionally insured for the time period in question  
 d. Dates of coverage: Sunday, November 6 through Friday, November 11.

Also, do not forget to properly inusre your shipments, from the moment it leaves your warehouse to when it returns.

Labor
Shepard Exhibition Services is the official labor contractor for WFX Dallas.  Orders can be placed by completing the order form located in the Shepard Labor Services Section.  If your company plans to use another contractor for the installation and dismantle of your exhibit, you must complete and return the Exhibitor Appointed Contractor (EAC) form located in the Approval Forms section of the manual to Shepard before October 20th (or you will be required to use Shepard labor while your exhibit house supervises). Please take a moment to familiarize yourself with the local union guidelines located under the Labor Services section.   
         
Media Outreach
There are opportunities for exhibitors to reach trade and national media through WFX. Among the vehicles of communication for exhibitors are distribution of press kits, and online posting of press releases on the WFX web site. Please refer to the Media Relations page for additional details regarding media outreach.
           
Registration
Exhibitor registration is available online for your convenience. Badge allotments are directly related to booth size (5 Badges per 100 square feet). Badges will not be mailed out in advance, but you can request to have them mailed to you prior to October 1 by selecting the box when given the option. Please see the Registration section for complete details.

Rigging
Shepard is the exclusive provider of rigging services (sign-hanging) for WFX. Please refer to the labor services section for information and rates on rigging.

Security
Show Management will be providing perimeter security for the exhibit hall; however, exhibitors are solely responsible for the security of their contracted exhibit space and the products within. Exhibitors interested in hiring security officers from D&L Entertainment Services for their booth are encouraged to do so by contacting them at 214-634-0757 or by using the order form located under the Service Order Form section.

Service Providers- Exclusive and Official
WFX has secured Official and Exclusive service providers for exhibitor services.  While you may select your own service providers for non-exclusive services (See the Exhibitor Appointed Contractor information ), please keep in mind that the official service providers have earlier access to the exhibit floor and are exempt of material handling fees for any orders you place through them.  This will ensure that your orders will be waiting for you in your booth early on and you will not have additional costs from bringing materials into the convention center through an outside company.

Set-Up/Tear Down Badges and Wristbands
Exhibitors and all of their sub-contractors wishing to gain access to the show floor prior to the opening of the show must display their badge in order to gain access. Booth personnel without badges can obtain a set-up/tear-down wristband for the purpose of gaining access for set-up and tear-down only. These wristbands will be available at the entrance to the exhibit halls throughout set-up and tear-down.

Show Lighting
In order to assist the lighting and video product related companies, the exhibit hall lighting will switch to show lighting (50%) at 3pm on Tuesday, November 8.  You can request a light above your booth be turned off for optimal effect in your booth.  The cost to do so is $100 for the first light, and $50 for each additional light following that. Permission must be received from all surrounding booths affected. Please visit the floor manager’s desk at the front of the exhibit hall for assitance.

Smoking
Smoking is prohibited within the facility.
